ABOUT THE ROLE
This is AAT’s entry-level back-office hire — the person who keeps the administrative and operational engine running while the technical and commercial teams focus on client delivery. The Operations and Administration Assistant handles internal coordination, scheduling, expense processing, vendor liaison and office management for the Ho Chi Minh City office. It is a high-visibility role in a small team: the work directly enables everything else. The role operates under the guidance of the founding team, with a clear pathway toward broader generalist responsibilities as the organisation grows.

WHAT YOU WILL DO
– Manage internal scheduling — meetings, travel coordination, team calendars and office logistics
– Handle accounts payable and receivable administration, expense reporting and vendor invoice processing
– Maintain internal records — contracts, supplier files, compliance documents and team contact databases
– Coordinate with external service providers including the outsourced accounting firm and HR compliance partner
– Support onboarding administration for new team members — paperwork, system access and equipment coordination
– Manage office supplies, equipment and facilities for the Ho Chi Minh City office
– Assist with ad hoc research, document preparation and internal communications as directed by the founding team
WHAT WE ARE LOOKING FOR
– 1 to 3 years of experience in an administrative, office operations or coordination role
– Strong organisational skills and the ability to manage multiple tasks without losing track of any of them
– Solid written and verbal English — you will communicate regularly with the Sydney office
– Proficiency in Microsoft 365 and familiarity with cloud-based tools for document management and scheduling
– Discretion with sensitive information — payroll data, contracts and personnel records pass through this role
– A genuine interest in keeping things running smoothly, not just completing tasks when asked
